Information for SB 62 participants (A-Z)

The sixty-second sessions of the Subsidiary Body for Scientific and Technological Advice and the Subsidiary Body for Implementation (SB 62) of the United Nations Framework Convention on Climate Change (UNFCCC) will take place at the World Conference Center Bonn (WCCB) in Bonn, Germany, from 16 to 26 June 2025.

Logistical information for participants

Note: The information shared here will be updated or added as it becomes available. Please check back regularly.

The venue is easily accessible for visitors with mobility difficulties and accessibility needs. The ground floor level has a large ramp for easy access to meeting rooms Nairobi, Wien, Genf and New York. Wide lifts are available to accommodate a standard wheelchair and to access meeting rooms Santiago de Chile, Tokio and the rest of the facility (i.e. computer centre) on the second floor. On the lower level (Rhine level), meeting rooms Bangkok and Addis Abeba are also accessible via lifts.

All meeting rooms arranged in classroom seating style equipped with a raised podium have built-in ramps for accessing the podium.

A Deutsche Bank cash machine (ATM) is available in the lobby of the Langer Eugen building on the United Nations Campus during working hours. To enter the building, please press the doorbell on the intercom in front of the entrance. ATMs in the vicinity of the conference venue are at the Haus der Geschichte Museum (Sparkasse ATM), located at Willy-Brandt-Allee 14, and at the Post Tower (Postbank ATM), located at Platz der Deutschen Post 1. Bus services

Bus line SB60 services the 25-kilometre stretch between Cologne/Bonn Airport and Bonn’s main railway station. The journey takes about 30 minutes. The bus leaves every 30 minutes on weekdays and every 30–60 minutes on Saturdays and Sundays. For exact timetables please visit the SWB website.

A one-way ticket costs approximately EUR 11.00.

Guidelines on the use of cameras and audio/video recording devices

Cameras and audio/video recording devices may be used by participants in public areas, such as lobbies and corridors, provided that such activities do not cause disruption to the activities or movements of participants or security provisions of that area.

However, the recording of audio and video by Party or observer organization delegates at open or closed official meetings or in designated high-security zones is not permitted.

Authorized media actions and publicity events by admitted observers following official procedures, in designated areas, are permitted. Materials containing abusive or offensive language or images or political pronouncements are not permitted in the conference venue.

Guidelines for the participation of non-governmental organization representatives

Non-governmental organizations are responsible for the conduct of their representatives. Any behaviour not consistent with these guidelines may have an impact on current or future participation in UN Climate Change events, including de-badging or revoking access for the organization and/or the individual.

The equipment is intended for use by all participants. Please be considerate and limit use when others are waiting.

Wireless connectivity

For best connectivity, it is recommended to:

  • Only select/use the PlugNPlay Wi-Fi service
  • Disable personal hotspots/tethering
  • Switch off your personal Wi-Fi devices if you have any
  • Avoid areas marked “Weak Wi-Fi spot”

Ethernet cables are available at the computer centre for faster wired connectivity or in case of Wi‑Fi problems.

Please report any issues to the ICT customer support staff located at the computer centre or look for support staff who are easily identifiable by blue vests marked “ICT SUPPORT”.

Consignments may be claimed at the Information Desk, located on the left-hand side of the ground floor of the main building after passing through the security check. Please present all relevant shipment documents (e.g. air waybill).

To reduce the carbon footprint of the conference and owing to logistical considerations such as storage availability, the secretariat will not be able to receive shipments of a cumulative total weight more than 50 kg per Party or observer organization.

In view of sustainability considerations and the need to optimize the use of resources, documents will be available online only. While delegates may print documents themselves at the computer centre, they are encouraged to limit such printing.

Non-smoking policy

To promote a healthy environment and to eliminate the risks associated with second-hand smoke inhalation, smoking indoors is strictly prohibited and smoking in the vicinity of buildings is highly discouraged. This includes the use of vapers and electronic cigarettes. Designated outdoor smoking areas are available.

The Information Desk is located on the ground floor of the main building and provides information on where to find meeting rooms and on available services and amenities.

Meeting rooms can be booked by Parties and observer organizations free of charge for slots of up to 55 minutes between 08:00 and 17:55 hrs.

Kindly note that requests for meetings to be held on the first day of the conference (16 June 2025) will be accepted electronically from 2 to 14 June 2025. Completed MRA forms (link will be provided in due course) may be sent by email to: meetingrequest@unfccc.int.

The MRA team will track your request and issue notifications/confirmations by 15 June 2025 at the latest.

As of 16 June 2025, MRA forms must be submitted in person at the MRA counter located at the venue.

All requestors will receive confirmation of the availability and location of their meeting room in the evening of the day before their meeting in person at the MRA counter. Once confirmed, it is advisable to frequently check your email inbox for potential changes to your confirmed meeting room booking. All confirmations must be reconfirmed again in person by the requestor at the MRA counter one hour before the start of the meeting. Meetings that have not been reconfirmed will be automatically removed from the system.

  • Meeting room requests may be submitted for a maximum duration of 55 minutes per Party, regional group, or observer organization (United Nations, intergovernmental organization or non-governmental organization). Please be reminded that meetings must conclude and the rooms must be vacated on time. The last meeting must be concluded by 17:55 hrs.
  • The confirmation of meeting room reservations depends on the demands of the negotiating process, which takes priority.
  • If the meeting room you have booked is required for informal consultations, contact groups or other urgent negotiation meetings at short notice, you may be provided with an alternative solution. You will be notified by phone, or by email if you have not provided a phone number.
  • Meeting room layouts are fixed and comply with the national safety regulations of the host country. Therefore, change of setup, removal or relocation of any furniture or equipment by meeting organizers is strictly forbidden.
  • All meeting participants are to be seated in accordance with meeting room capacity. Standing participation in meetings is not permitted.
  • Food and beverages are not permitted inside the meeting rooms, except water.
  • Meeting rooms cannot be booked for side events. To organize a side event, please refer to the Side Events and Exhibits Online Registration System (SEORS) for further information.

All formalities regarding registration, including issuance of badges to duly nominated participants to attend the sessions, are free of charge.

Who can register

Parties to the Convention, United Nations and related organizations and agencies, media and non-profit organizations with observer status may register to attend the sessions of the Convention. More information on options for participation is available here.

How to register

Registration for the conference is managed through the UNFCCC Online Registration System (ORS), which has opened on 6 February 2025.

Notifications on SB 62 registration for Parties and observer States, for United Nations organizations and specialized agencies as well as for admitted intergovernmental organizations and non-governmental organizations, are available here.

It is important to note that multiple registration for the conference is not permitted (i.e. registration as an observer organization representative and a Party or State representative and/or press/media representative).

Please note that it is prohibited to trade or sell your registration to attend a UNFCCC conference, meeting or workshop, including a COP, and may lead to permanent suspension of your registration.

Changes to the registration system and process

The UNFCCC secretariat has introduced updates to the registration of conference participants, with the aim to increase the transparency of participation in the UNFCCC process. Detailed information is available here.

Collecting conference badges

To be issued a conference badge, all participants must be duly registered as indicated in the section “How to register” above.

Upon arrival at the venue for the first time, participants are requested to proceed to the registration desk to collect badges for access to the conference premises. The acknowledgement letter from the online registration system – printed or on mobile device – and a valid passport or a nationally approved photo identification card should be presented to the registration staff for the issuance of badges.

For subsequent visits to the venue, with an already obtained badge, participants may access the venue directly through security, without stopping at the registration desk.

Note:
Delegates nominated by observer organizations will be able to pick up their badges on 14 and 15 June 2025. However, only those delegates participating in the pre-sessional meetings taking place on the WCCB premises will be permitted to enter the venue after having picked up their badge.

Virtual-only registration

Details regarding the availability of virtual participation will be communicated in due course.

Applications for side events are managed through the Side Events and Exhibits Online Registration System (SEORS). SEORS is the only channel used by the UNFCCC secretariat to receive applications for official side events by admitted observer organizations, UN organizations and specialized agencies, and Parties partnering with admitted observer organizations.

Paper use and distribution

Participants are encouraged to print and photocopy only what is absolutely necessary prior to and during the sessions.

Participants are asked to refrain from distributing any printed materials, such as publications and information related to side events, other meetings or future conferences. Any dissemination of information should be done electronically.

Schengen visas for Germany

Accredited delegates requiring a Schengen visa to enter and remain in Germany for the duration of the conference must book an appointment well in advance with the competent German mission (Embassy or Consulate General) in the country where the delegate legally resides. During peak travel season and due to visa processing requirements, there may be a longer wait for an appointment. It is strongly recommended to book an appointment as early as possible. Please note that you can apply for a Schengen visa from between six months and generally no later than 15 days before your planned travel. However, an appointment can be booked more than six months in advance of your anticipated travel date.

Please note that in some countries, Germany is represented through missions of other Schengen states. In these cases, please follow the instructions on the website of the representing state. This will influence the duration of the visa processing, which may be longer than indicated above.

The legal basis for Schengen visas is the EU Visa Code, which is binding for all Schengen states. Schengen states are obliged to verify the purpose and conditions of the intended stay, sufficient means of subsistence for the stay, a travel medical insurance valid throughout the territory of the Schengen States and the applicant’s intention to leave the Schengen zone before the visa expires. 

A copy of the acknowledgment letter from the Online Registration System serves as proof of the purpose of your stay. Please consult the website of the competent mission for information on additional documents that must be submitted in order for the mission to be able to process your visa application.

It is strongly recommended that you present the application well in advance with all required documents. Therefore, registration and nomination of delegates should be done as early as possible to allow each delegate to complete applications and book an appointment on time for SB 62. 

As a general rule, the processing time for visa applications submitted to the German mission is up to 15 calendar days, in individual cases this period may be extended up to 45 calendar days. There is no guarantee that late visa applications will be processed on time.

Accredited delegates are exempted from visa fees. In countries where the application process is conducted at Visa Application Centres (VACs) operated by external service providers, the provider’s service fee will be charged. Please note that visas obtained are usually single entry and limited to the duration of the event/meeting. Requests for multiple entry visas must be properly justified.
