The online registration period closed on 26th July 2013. Applicants will receive information from
the secretariat through SEORS. Those who missed the registration period and still would like to be
on a waiting list in case there are any cancellations, please contact the Side Events and Exhibit
Exhibits serve as a platform for observer organizations to highlight diverse climate change issues at
UNFCCC conferences. The Government of Poland has generously provided exhibit booths for observer
organizations as well as Parties to showcase their work at COP 19/CMP 9. They cover a wide variety of
topics and are loosely clustered by thematic groups throughout the conference duration.
Access to Premises
All official side events and exhibits will be held at the National
Stadium, Warsaw. Please refer to the
notification to NGOs and IGOS dated 9 August 2013 (184 kB) for additional information:
Exhibit booths are provided free of charge and consist of a counter, a
chair, a power outlet and wireless internet access. The entire floor area of exhibit booth will be 2x2
Exhibitors who need to rent equipment or supplies on a commercial basis other than those provided free of
charge may contact the official service provider. Contact details of the service provider, besides other
technical specifications, will be shared with organizers through the Side Events and Exhibits Online
Registration System (SEORS) as soon as they are available. Please note that exhibitors are held liable for
any damage to the exhibit booth. All exhibitors are requested to use the booth the way it is provided and
refrain from changing the layout.
In order to maximize the use of the exhibit space available, the secretariat reserves the right to reassign
exhibit booths that are not set-up by Monday, 11 November 2013 at 6:00 p.m. without prior notice, to other
applicants on the waiting list. The same applies to second week exhibits that have not been set-up by
Monday, 18 November 2013, 1:00 p.m..

Climate Change Publication Counter (CCPC)
Exhibitors who have been allocated an
exhibit booth for one conference week only are welcome to display their remaining publications at the CCPC.
If this is the case, organizers should provide a sample of their publication(s) to the staff at the Side
Events and Exhibits coordination office (Level 1, Sector A), during COP 19/CMP 9. The counter cannot manage
large volumes, but will assist in changing the range of documents on display. Documents that are deposited
elsewhere or not attributed to the conference will be removed.

Shipment allowance and consignments
The official UNFCCC consignment label enabling
organizers to ship exhibition or side event materials to Warsaw has been sent through the Side Events and
Exhibits Online Registration System (SEORS), whilst additional information concerning customs and shipment
has been posted here.
The organizer is responsible for arranging the return shipment of remaining materials.
The shipment allowance introduced in 2012 will be maintained for the Warsaw session. For details on the
allowance as well as the distribution of paper documents in general, please refer to the
notification issued by the secretariat on 9 August 2013 (184 kB) .
As part of the on-going efforts to reduce the carbon
footprint of the conference, the side event and exhibit
schedules are made available on the secretariat website in electronic form only. Additional information
on the "Distribution of paper documents in general" is available in the
Notification to NGOs and IGOs dated 9 August 2013 (184 kB) (Page 7).
In the same vein, the secretariat encourages organizers to use the upload facility in their personal SEORS
account to upload information and electronic publications to the UNFCCC website. Changes can be made by
replacing or deleting the existing files up to four weeks after the sessions. Individual files should not
exceed 4 MB, but it is possible to upload as many files as needed.
There will be no catering within the
exhibit booths area.
